Q-Sourcing Limited trading as Q-Sourcing Servtec is a manpower management solutions firm operating in the East African Region in the countries of Uganda, Kenya, Tanzania, Rwanda, and South Sudan.
On behalf of our client EACOP , we are looking for a competent, skilled, and experienced OFFICE Receptionist/Client Support to work in Uganda
POSITION IN THE ORGANISATION
Reports to: N+1 : Engineering Manager
N+2 : EPS Package Manage
Direct subordinates : none
MISSIONS / JOB DIMENSIONS
The Office Receptionist/Client support will serve as the first point of contact for visitors, clients, and staff, ensuring a professional and welcoming environment. The role includes managing front desk operations, coordinating communication, supporting administrative tasks, and assisting with travel and logistics arrangements
ACTIVITIES
Front Desk & Visitor Management
· Greet and receive visitors, clients, and staff in a professional and courteous manner.
· Manage visitor sign-in, registration, and issuance of passes while maintaining updated logs.
· Direct visitors to the appropriate person or department.
· Maintain a clean, organized, and presentable reception area.
· Ensure adherence to company policies and visitor security procedures.
Communication & Customer Service
· Answer, screen, and forward incoming phone calls.
· Respond to inquiries via phone, email, and in person.
· Ensure clients, callers, and visitors feel supported and valued.
Mail & Deliveries
· Receive, sort, and distribute incoming mail, packages, and deliveries.
Administrative & Clerical Support
· Assist with photocopying, scanning, filing, and data entry.
· Maintain office supplies inventory and place orders when necessary.
· Provide administrative support in planning and organizing company engagements and activities.
· Prepare folders, brochures, and other company information for distribution to stakeholders
Travel & Logistics Support
· Provide staff with travel support, and related requirements.
· Liaise with travel agencies for bookings, payments, and follow-ups.
· Support staff in processing visas, insurance, and travel documentation.
· Assist with planning and execution of staff and stakeholder visit/tour schedules.
RequirementsQUALIFICATIONS AND REQUIRED EXPERIENCE
· Strong communication and interpersonal skills.
· Excellent organizational and multitasking abilities.
· Proficiency in MS Office and office equipment.
· Ability to handle confidential information with professionalism.
· Customer service-oriented with problem-solving skills.
